Job Description


1. Assist/facilitate the Vice President (VP) in the day-to-day operation of the division/department as required.
2. Handle the calendar and administrative assistance for the VP.
3. Prioritize all telephone calls and in-person both internal and external clients.
4. Schedule and arrange appointments as required.
5. Respond to all inquiries including hotel unit and corporate unit.
6. Coordinate and communicate with executive offices at all Dusit International both local and international.
7. Schedule senior executives and division heads for regular meetings with the VP.
8. Prepare correspondence, reports, and materials for presentations.
9. Assist in the planning and preparation of meetings, conferences and conference telephone calls.
10. Coordinate and facilitate the VP’s calendar to arrange appointments, meetings, and conferences.
11. Prepare agenda and collect materials for meetings, speeches, and conferences.
12. Issue the minutes of meetings to all attendees of the meeting.
13. Receive, direct and relay telephone messages and fax messages to VP.
14. Maintain both VP’s personal and general filing system.
15. Read and screen incoming correspondence and reports; makes preliminary assessment the importance of materials and organize documents; handle some matters personally and forward appropriate materials to related staffs.
16. Maintain an adequate inventory of office supplies.
17. Handle all department administration duties such as faxes, mail phones, photocopying and office supplies.
18. Use Navision System to order office equipment and supply needs and coordinate with Purchasing Department.
19. Prepare and keep VP’s expense reports for reimbursement.
20. Coordinate with Accounting Department and obtain reimbursement of the expenses for VP.
21. Compose letters in response to inquiries and memorandum to Dusit employees.
22. Review, proofread, and edit information/documents prepared both from VP to concerned departments and for the VP’s approval.
23. Translate documents Thai to English submitting to all recipients (if necessary).
24. Receive and screen incoming calls and visitors, determine which are priority matters, and alert the concerned persons. Make referrals to appropriate staff or provides requested information.
25. Make travel arrangements and prepares itineraries. Also proceed hotels and transportations reservation.
26. Other duties as assigned.


1. Acts as liaison between VP and other staff, by transmitting directives, instructions and assignments and following up on the status of assignments.

2. At least Bachelor degree in Social Science, Business Administration, Hotel Management
3. Experience in secretarial or administrative job. Exposure to hospitality business is an advantage
4. Excellent interpersonal and communication skills
5. Well organized and detailed oriented person
6. High level of English proficiency
7. High level of computer literacy
