Job Description

PRIMARY RESPONSIBILITIES:

• Direct and co-ordinate the office administration according to Technical Manager’s instructions and hotel policies and procedures.
• Receive all incoming correspondence, date stamp, sign and submit to Director of Engineering.
• Take dictation type all correspondence etc., and sent out.
• Prepare monthly report, Utilities report, Inventory report, fuel consumption report for submission.
• Keep files in order and up to date.
• Make weekly requisitions for office supplies.
• Receive and answer telephone calls and guests of Director of Engineering and Chief Engineer.
• Keep Director’s office and desk tidy.
• Advise and remind Director of Engineering and Chief Engineer of appointments.
• Responsible for recording and submitting engineering personnel’s daily time sheets to Personnel Department.
• Responsible for recording and submitting engineering personnel’s daily time sheets to Personnel Department.
• Responsible for recording receiving operator’s log reports from Duty Engineers, give possible comments and forward to Director of Engineering and Chief Engineer.
• Responsible for receiving consumption reports from Supervisor and Duty Engineers and prepare statistics.
• Responsible for keeping complete set of structural /mechanical/ architectural /electrical /ventilation /plumbing/ furniture/ drawing as well as paint scheme of entire hotel and physical plant.
• Responsible for keeping equipment history file up to date.
• Responsible for preparing (and attending) engineering staff meeting.
• Follow up all other orders, instruction, rules and regulations that may be issued.
• Responsible for department internal training for each month and sending report to HR.
• Follow work for each section and report to Director of Engineering
• Take meeting minutes.

OTHERS

• Any other duties as may be assigned by the superior.

JOB REQUIREMENT
• Bachelor Degree in Business Administration or others related field
• Minimum 2 years of experiences
• Good English communication skill both speaking and writing
• Knowledge in engineering, hotel operations and ISO is an advantages
• Good knowledge in Microsoft Office; word, excel, power point
